What will you do?

As an Office Assistant, you will play a key role in ensuring our daily operations run smoothly. No two days are the same, and you will work closely with three colleagues to fulfill various tasks. Your responsibilities include:

  • Ride Planning: Efficiently scheduling rides for our chauffeurs while considering the needs and preferences of our clients.
  • Maintaining Client Relationships: Building and maintaining strong client relationships is vital to our success. You will ensure clients are always satisfied and serve as their first point of contact for questions or concerns.
  • Administrative Work: Managing a streamlined administration process, processing data, maintaining files, and performing various administrative tasks.
  • Communication with Chauffeurs and Clients: Effective communication is essential in our industry. You will stay in contact with chauffeurs and clients to ensure everything runs smoothly.
  • Managing Large Projects: Collaborating with the team to plan and execute major projects and events.
  • Sales & Marketing Support: Assisting our sales and marketing departments by preparing quotes, following up on leads, and providing information to potential clients.

Who are we looking for?

We are looking for a proactive and independent Office Manager with a hands-on mentality. You are stress-resistant and thrive in a dynamic work environment. Additionally, you have a client-focused attitude and excellent organizational skills.

Requirements:

  • Flawless communication in both Dutch and English, written and spoken.
  • Familiarity with Microsoft Office.
  • Experience in a similar role is an advantage but not required; we focus on the candidate’s personal motivation.
  • A slight affinity for ICT is appreciated.

What does a typical day look like?

  • 09:00: Start your day.
  • 09:30: Team meeting.
  • 10:00: Finalize ride administration from the previous day.
  • 11:00: Plan rides for the upcoming days.
  • 12:00: Lunch break.
  • 13:00–14:00: Variable tasks.
  • 14:00–16:00: Marketing/sales/client contact (CRM).
  • 16:00–17:30: Planning and closing team meeting.
